General Summary of Position

  • Consistent interface with the state-based program teams and effectively support all administrative and finance documentation processes.
  • Regular liaison with other MCN teams like the HR, Finance, Supply Chain Operations to ensure smooth processing of administrative, logistics and payment requests from the state-based program teams and implementing partner.
  • As assigned, process activity budgets, procurement requests, payment requests, cash advance requests, liquidations, travel requests, security clearance requests, etc – using properly approved and financial reviewed documents.
  • Provide effective support/coordination of all logistics required for GIRL-H’s quarterly pause and reflect/review meetings.
  • Support the MEL (Knowledge Management) focal point with accurate storage of program MOVs (reports, attendance sheets, presentations, pictures, audio, video, etc) on the Program’s Google Drive.
  • Support the MEL (Knowledge Management) focal point with tracking program participants and stakeholders to collect impact/success stories, share with the Country Communications team for further reviews (as authorized), store approved impact/success stories on the Google Drive, and publish on MC’s Workplace.
  • Support the CARM focal point with resolution of reported issues.
  • Support in organizing meetings and preparing agendas, share approved meeting documents, reminders, etc.
  • Take and produce accurate notes from all program meetings, presentations, etc as required.
  • Maintain the office space and systems, including data management and filing.
  • Maintain accurate inventory and storage of program supplies and training materials.
  • Maintain accurate inventory of procured IEC and visibility materials and coordinate approved distributions.
  • Assist in following up with the teams and partners on actions that fall within the program’s scope.
  • Perform other program administrative and logistic tasks as assigned by the Program Manager.
  • Demonstrate capacity for career progression if/when opportunities become available through excellent work performance.

Finance and Compliance Management

  • Ensure compliance with donor and Mercy Corps regulations related to the program.

Security

  • Ensure compliance with MCN’s Safety/Security procedures and policies as determined by country leadership.

Accountability to Beneficiaries

Mercy Corps team members are expected to support all efforts toward accountability, specifically to our beneficiaries and to international standards guiding international relief and development work, while actively engaging beneficiary communities as equal partners in the design, monitoring and evaluation of our field projects.

Accountability

  • Reports Directly To: GIRL-H Program Manager.
  • Supervisory Responsibility: None
  • Works Directly with: Program Officers, Finance and Subawards teams, MEL, Implementing Partner, HR and Country Supply Chain Operations departments, and other GIRL-H Program Managers.

Knowledge and Experience

  • BSc./ BA in any Social Science field.
  • Exceptional interpersonal and communication skills, to enable professional interactions with different internal teams and external stakeholders.
  • Excellent IT skills, including use of canva, capcut and working knowledge of presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint.
  • Strong tech savviness and internet surfing skills.
  • Good ability to use office equipment like printer, photocopier, scanner, etc.
  • Ability to organize and plan work schedule.
  • Excellent attention to detail with the ability to maintain a high level of accuracy in administrative processes.
  • A flexible, pro-active approach to work including the ability to prioritize and re-prioritize.
  • Ability to work with minimal supervision and take own initiatives.
  • Ability to deal with sensitive information with discretion and maintain a high level of confidentiality.
  • Fluency in written and spoken English highly essential; basic understanding of Yoruba and Hausa languages are added advantage.
