Job Title: Human Resource Officer

Location: Maiduguri, Borno State

Resumption: Immediately

Job Summary

The Human Resources Officer will support the preparation of HR tasks; and develop/update HR policies and procedures in compliance with all national acts and legislation. S/he will be responsible for handling all human resource functions which encompass a variety of activities – recruitment and selection, compensation and benefits, training and development, safety and health, labor relations, performance appraisal, payroll management, guidance, etc. that significantly influence all areas of an employee engagement and the organization as a whole.

Essential Duties & Responsibilities

  • Ensure that all recruitments are done in accordance with the organization’s recruitment processes.
  • Prepare monthly payroll schedule for staff and ensure payroll processing functions for all employees (system set-up, timesheet collection, all deductions such as PAYE, Pension, NSITF, NHF, salary increases, allowances, bonuses, etc.) to ensure appropriate computation are in line/compliance with Nigeria laws.
  • Raise internal requests and prepare monthly salary payment schedule to be sent to the finance department for payment of staff salary.
  • Ensure complete and up-to-date personnel files are maintained for all staff. Prepares and monitors the details of all employment contracts ensuring all staff have valid employment contracts.
  • Training employees on HR policies and procedures, updating the organization on new regulations or best practices in human resources.
  • Manage staff separations (departures, exit interviews).
  • Promote workplace safety through impartial treatment to all employees through proper practices and employment policies throughout the organization. Ensure that all policies are applied fairly and consistently to all employees.
  • Ensure all staff personal files are updated according to the checklist /procedures on a constant basis.
  • Ensure all staff complete the Induction before being sent to work.
  • Organize training on Code of Conduct for staff. Brief on other HR policies/procedures to staff.
  • Provide advice and recommendations on disciplinary actions
  • Filing of all project related documents and development of a transparent and efficient filing system of all administration records as per the organizational filing procedures.
  • Review HR-related documents before the executive director approves.
  • Coordinate with Team Leader on Annual Leave, and sick Leave forms, review for correctness (for approval, availability of leave), update the database for leave, and file in staff personal files.
  • Ensure all staff taxes and legislative obligations are done on time as per the government deadlines.
  • Follow up with Line supervisors and ensure the Performance (Probation) objectives are set and filed within two weeks of the appointment date.

Knowledge and skill

  • Proficient knowledge of HR-relevant legislation, policies, and procedures
  • Comprehensive knowledge of payroll administration and management
  • Knowledge of performance review methods and techniques
  • Ability to Train staff, development and recognition, delegation, mentoring and coaching
  • written communication skills including the ability to prepare reports, proposals, policies, and procedure
  • Ability to have supervisory, team building, problem-solving, interviewing, stress management, basic counseling, and negotiation skills
  • Proficiency in the use of Microsoft Office 365.
  • Ability to prioritize work and keep work confidential

Qualifications and Experience

  • Bachelor’s degree in Human Resources, Administration and Management, or a related field.
  • 2-3 years of experience in a similar HR role within an NGO.
  • Excellent understanding of HR functions such as pay & benefits, recruitment, onboarding, evaluation, training & development.
  • Good knowledge of employment laws.
  • Proficiency in MS Office.
  • Excellent communication and interpersonal skills.
  • Strong ethical standards.
  • Additional HR education and certification are a plus.
