WHAT WE DO …

INTERNATIONAL SOLIDARITY( SI ) is an international humanitarian aid association which, for more than 40 years, has provided assistance to populations victims of armed conflict and natural disasters by meeting basic needs, drinking, eating, take shelter. Particularly engaged in the fight against diseases linked to unsafe water, the leading cause of death in the world, SI implements, through its interventions, expertise in the field of access to drinking water, sanitation and the promotion of hygiene, but also in that, essential, food security and livelihood. Present in around twenty countries, the SI – 2000 teams in total made up of expatriates, national staff, headquarters staff, some volunteers…- intervene with professionalism and commitment in respecting cultures.

JOB DESCRIPTION

Within the HR department of Solidarities International and under the authority of the/of the Referent.e Administration des RH & Voyages, the/the Travel Officer is responsible for the administrative and operational organization of travel of staff headquarters and expatriates of the’association in France & abroad.

The/the Travel Officer is also the privileged interlocutor of travel agencies partners in travel management.

He/she participates in the projects of the HR & Travel Administration department and the HR department.

Administrative management of departures

  • Constitutes the administrative files of expatriates
  • Created and sends the necessary administrative documents to the HR country coordinations
  • Participates in the monthly monitoring of departures

Logistical organization of employee travel

  • Obtaining visas
    • Prepares and monitors visa applications in relation to the internal and external actors required for them
    • Created and updates the procedures of’ obtaining visa for the countries for which he/she is in charge
    • Is force of proposal in case of blocking of’a visa procedure
  • Travel management
    • S’assure of the reservation of the tickets of’avion
    • In connection with the/the HR Coordinator and/or Country Director, updates the administrative procedures for’entry of the countries for which he is responsible
    • In consultation with the’ travel agency, follows the general evolution of the openings & closures of’ airport and is force of proposal in the alternatives that can be made.
    • Is force of proposal on the companies to privilege, by making an analysis of the usual risks (related to the planes, context, immigration).
    • S’assure of the reservation of the hotels & updates the table of follow-up of the reservations
    • Matching bookings and billing for flights and hotels
    • Validates expatriate expense reports upon return from mission
    • S’ ensures the proper dissemination of the necessary information and’a fluid coordination with missions and missionsrent.es interlocutors of headquarters
    • Is in support of employees of the headquarters in case of questions about their travel
    • Is in support of missions on the’purchase of family break tickets on the ground

Maintenance of HR fund and expenses

  • Ensures the management of the fund in connection with the Administrative and Financial Department
  • Is responsible for the monthly billing of hotels and airlines

Definition of HR strategy, policies, frameworks & procedures

  • In line with the Department’s strategy and annual plan, participates in the definition of the strategy and the annual plan of the HR & Travel Administration department
  • Participates in the definition and evolution of policies, frameworks and procedures in the management of travel
  • Participates in’ projects for the constant improvement of policies, frameworks and procedures in travel management
  • Participates in the definition and monitoring of travel dashboards, as well as’ in their analysis

Link with our external service providers and the inter-NGO network

  • Participates in the active collaboration with our external service providers (ticketing & hospitality) to discuss possible operations and improvements
  • Maintains close links with travel services of other NGOs

YOUR PROFILE

  • Formation : bac+3, BTS type formation
  • Mastery of the most common office software (Word, Excel & Outlook),
  • Mastery of the’english essential
  • Responsiveness, rigor, very good ability to’anticipation, very good organization and coordination, good communication
  • Good ability to prioritize. Good resistance to stress.

One more :

  • Experience within’a travel service in a Humanitarian Organization or in another type of’organization

IF YOU WILL OFFER THE FOLLOWING CONDITIONS

  • Position based at the headquarters of Solidarity International, in Clichy la Garenne (Mairie de Clichy Metro)
  • Contract – Framework status – CSD Replacement maternity leave – 4 months minimum
  • Monthly gross remuneration of : 2865 € or 2985 € (2 echelons) depending on the grid in force at headquarters
  • Possibility of teleworking: 12 days of Teleworking per month
  • Leave : 2.0833 CP /month and 1 day RTT / full month of work
  • Mutual (80 %), restaurant tickets (60%), transport tickets (50%) supported by the’association
