TERMS OF REFERENCE for OFFICE PARTITIONING ARCHITECTURAL/ PROJECT MANAGEMENT At Nutrition International

A. INTRODUCTION 

Nutrition International is a Canadian-based international not-for-profit organization dedicated to improving the health and nutrition of the world’s most vulnerable, especially women and children, by eliminating vitamin and mineral deficiencies.  

NI is seeking for a qualified Architecture/Project Manager to provide services related to architectural drawing of an office floor plan and supervision of office partitioning located at Casa Bellissimo Mall at Plot 118, Sector Centre A, Ahmadu Bello Way Jahi, Abuja.  

B. SCOPE OF THE ASSINGMENT

  1. Conduct a site visit to the office and draw an office plan in accordance to the instructions given by Nutrition International.
  2. Develop detailed bill of quantities based on the approved floor plan.  
  3. Supervise the contractor during the office partitioning construction which involve;
    1. Provide necessary technical support on behalf of Nutrition International on project management, including risk management, cost control, scheduling, monitoring, and reporting.  
    2. Supervise and monitor construction of all project components, verify modifications of designs as required by site conditions and upon consultation with Nutrition International issue variation orders to the contractor.   
    3. Monitor construction methods and quality control to ensure completeness and accuracy in accordance with the approved design drawing and bill of quantities, specifications, norms, best practice, and standards.  
    4. Inspect and approve all the building materials against specifications and the bill of quantities to establish value for money on behalf on Nutrition International.  
    5. Examine the contractor’s claims for variation, time extensions, contract amendments, additional compensation and prepare detailed recommendation for approval by the Nutrition International.  
    6. Scrutinize and approve the detailed work programs including resource planning by the contractor.  
    7. Monitoring the progress of the construction works against the project workplan and advise the Nutrition International of any deviations from the plan.  
    8. Confirm works completed and verify bills for payments to the contractor as per the conditions of contract.  
    9. Take part in resolution of contractual issues in liaison with the Nutrition International.  
    10. Maintain detailed records of scope of the completed works.  
    11. Inspect the works at appropriate intervals during defect liability period and recommend for certification and final payment.  
    12. Ensure the safety measures are followed during the implementation of the constructions.  m. Prepare Completion report.   

 C. DELIVERABLES  

The Architecture/Project Managerwill be required to meet the deliverables as per agreed timeframe.

        Key deliverables include: 

  1. Submission of floor plan drawing including a 3D video.
  2. Submission of Bill of Quantities base on approved floor plan.
  3. Weekly construction status report as may be requested by Nutrition International.  
  4. Project Completion Reports  

D. ELIGIBILITY REQUREMENTS   

Interested firms are required to submit the following in response to this Terms of Reference.  

1. Mandatory Registration Certificate  

  1. Valid Certificate of registration   
  2. Valid Certificate of registration/ incorporation   
  3. Valid Tax compliance Certificate   
  4. Valid Professional registration certificate
  5. Technical Proposal which must include the following:
    1. Step by Step Methodology for carrying out the tasks.  
    2. Demonstrate understanding of TOR  
    3. List of 3 Contracts for similar work  
    4. Expected delivery time.   
  6. Financial Proposal (in Excel) which must include the following:
    1. Fees charged for the services.
    2. List of any proposed reimbursable expenses to be incurred.   

E. HOW TO APPLY 

Complete technical and Financial Proposals together with the required documents to be submitted to: BidsNigeria@nutritionintl.org to be received not later than 4th September 2023. Late submission will not be accepted.
