Position: Senior Grant Officer (2 Positions)
Location: Abuja
OBJECTIVES:
The Senior Grant Officer is responsible for managing project budgets from preparation to activity implementation, donor financial report preparation to project close-out. He/she is required to prepare monthly BVA, review and sign financial transaction documents, and review postings to SUN to ensure compliance with donor and organisation requirements. Work with the Programme Unit and other stakeholders for the smooth running of the projects.
Duties & Responsibilities
- Responsible for developing a well robust project budget in collaboration with programs for new business development (NBD) for each of the channels’ cost centres using the approved MSI internal budget template.
- Responsible for properly phasing all approved donor budgets by Channel/DRL in collaboration with programs using our internal phasing template and transferring the same to the MSI project upload template for SUN upload within the set timeline
- Responsible for monitoring all project-related expenses by validating/providing donor/account codes on all submitted requests (PRF/PR) to prevent recoding and use the PRF tracker to track all approved requests that are in the pipeline with procurement that are yet to be submitted to finance for posting to SUN. This process is to ensure there is no overspend in any of our project budgets.
- Responsible for reviewing an approved all recoding journal which must be saved in the recoding month folder before it can be posted to SUN.
- Responsible for maintaining an up-to-date BVA/PFR for each of the projects by ensuring all the required tabs/sections are properly completed with a detailed and quantifiable commentary on the variances and preparing a consolidated summary that shows all our project status by project and channel.
- Responsible for preparing an error-free donor report and submit to the Finance Manager for approval two days before the MSI deadline.
- Responsible for providing a project status report for all our current projects in a consolidated format approved by the Finance Manager
- Responsible for coding and Posting all Intercompany-related transactions and ensuring it is fully reconciled with detailed explanations of the outstanding items.
- Responsible for performing a monthly reconciliation on Deferred Income by the project including UNFPA donated stock with a detailed schedule that reconciles with each project’s balances and ensures no balances is sitting on closed projects.
Responsible for providing an updated funding pipeline/cost matrix monthly, including the implementation of the support office cost allocation policy by fairly attributed SO cost across our current project.
- Responsible for working with P1 BH/Channel Leads to prepare an accurate rolling forecast/quarterly forecast and BP within the set internal timeline.
- Preparation of monthly presentation report where all current project updates are provided, in terms of all project YTD/FY status, reasons for over/under spent, challenges and their implication with clear action plan to address them
- Provide support to the Finance Operations unit with regards to project management and should make input into the RFO OGSM and should hold them accountable for it.
REQUIRED QUALIFICATIONS:
- A degree in accounting with a minimum of 2nd class Upper division or its equivalent, and a recognised professional qualification such as ACA, or ACCA.
- Good administrative and organizational skills.
- 4-5 years of proven experience in managing donor budgets in an international NGO.
- Ability to use SUN Accounting package and other accounting packages.
- Advanced Excel skills preferred.
- Ability to multitask, manage a workload, and produce high-quality reports.
Good team player and flexible while working with other colleagues.
Note: There are no relocation allowances available for this position.
