RoleProcurement Officer

DESCRIPTION OF DUTIES:

  • Providing a strategic overview of the procurement process to ensure efficiency and value for money
  • Coordinating with vendors to ensure that they meet all compliance requirements
  • Reviewing purchase orders to ensure that they are complete and accurate and conform to company policies and procedures
  • Negotiating prices on behalf of the company with suppliers or contractors for services or products
  • Monitoring inventory levels of items that are needed for day-to-day operations in order to ensure that there is adequate supply
  • Conducting analyses of purchasing patterns in order to develop new strategies for increasing efficiency
  • Reviewing bids from vendors to determine whether they meet the requirements set forth by the company
  • Helping coordinate bids for large projects such as machinery or building construction
  • Preparing reports about bidding results for use in future purchasing decisions
  • Monitoring contractor performance to ensure that contractual obligations are being met
  • Ensuring efficiency and value for money by conducting market research before negotiating prices.
  • Contribute to the development of procurement plans, schedules, and documentation.
  • Monitor and support administrative and management-related matters during audits and reviews.

QUALIFICATIONS

Education

  • Essential: Bachelor’s degree in a field relevant to the position (such as in Business Administration, Economics, Statistics, Mathematics, or Accounting) or a similar area.
  • Desirable: A training certificate in logistics/procurement/contracting or a related field.

Experience

  • A minimum of five years of progressive experience in procurement, contract management, or contract administration is required.
  • Three years are required to be directly related to first-hand procurement or contracting.
  • Demonstrated experience in working effectively with internal and external clients.
  • Experience in improving procurement/contract management-related processes and tools.
  • Experience reviewing terms of reference and requests for proposals.

Skills

  • Excellent planning and organizational skills. Very good communication skills – both verbal and written.
  • High level of integrity and commitment to professional responsibilities, especially as concerns confidentiality.
  • Proven trustworthiness and willingness to work as a team player, take direction and share information with fellow staff members.
