Job Description

  • A Personal Assistant to the Hotel Manager is responsible to provide the Hotel Manager with administrative support including typing, filing, answering telephones, taking messages, maintaining appointment calendar, making travel arrangements and other general office duties.
  • Assumes full responsibility for all administrative duties in the Executive Office ensuring professional and timely execution of all tasks.

What will I be doing?
As a Personal Assistant to Hotel Manager, you are responsible for performing the following tasks to the highest standards:

  • Maintain and update accurate records using the electronic diary, mail and computer databases.
  • Organize guests appointments, meetings and conferences which may include collating meeting papers, coordinating venues and arranging travel schedules.
  • Ensure that departmental  S.O.P and emergency procedures are strictly followed in departments.
  • Liaise with the P.A to General Manager to coordinate the preparation of Management meetings, Owners briefs and stakeholders meetings.
  • Ensure requests for advice or correspondence are provided in a professional and timely manner.
  • Undertake research for specific information using electronic resources and/or networking relationships with internal and external key stakeholders.
  • Create agenda and schedule weekly Engineering meeting with Hotel Manager.
  • Conduct weekly FLS&S (Fire, Life, Safety & Security) review with associated departments.
  • Perform P.A functions such as compiling agendas and minute taking during meetings.
  • Coordinate travel and accommodation arrangements for the Hotel Manager.
  • Distribute contracts, memo, reports and revisions.
  • Carry out duties in accordance with health and safety policy, Hilton Standards, and corporate values and strategies.
  • Follow-ups to different departments, company, and person on any pending documents/task as requested by the Hotel Manager including the status thereof.
  • Ensure timely approvals and document signatory from Hotel Manager’s In-Out basket. 
  • Coordinate and liaise with travel agencies in making travel arrangements & accommodation arrangements as per instruction of the Hotel Manager.
  • Generate reports, presentations and briefs as may be required.
