Job Title: Personal Assistant / Administrative Officer
Location: Lekki, Lagos
Job Summary
- As the PA/Admin Officer, you will be responsible for the coordination of the Organization’s administration system and general workflows which include management of staff, facilitating communication throughout the Company and developing procedures to make the workplace more efficient.
- Provide personalized secretarial and administrative support in a well-organized and timely manner for the MD
Responsibilities
- Manage the day-to-day operational activities of the Company and ensure hitch-free activities.
- Drafts, maintains, and updates documents such as Staff directories, Company’s policies, Vendors’ contracts and directories, Departmental Process documents and customer details.
- Maintain and keep up-to-date Company’s records.
- Coordinates and arranges meetings, by preparing meeting agenda and taking minutes of meeting which is to be submitted to all concerned parties after the meeting.
- Maintain office supplies and ensure restocking when supplies are low such as stationery and office consumables.
- Prepares and submits daily operations and weekly departmental reports.
- Negotiates with vendors on office maintenance and supplies.
- Manages travel arrangements – flight, accommodation etc. for Staff.
- Maintains physical and digital personnel records and updates all HR databases (e.g., new hires, separations, annual leave, off days and sick leaves).
- Tracks staff deliverables & reports and submits action log of deliverables weekly.
- Manages the recruitment process; sends out vacancies and fliers on different platforms, shortlists CVs upon receiving applications from candidates, sends interview invites to the shortlisted candidates, schedule and conducts interviews. Submit interview report to the management.
- Conducts onboarding for new hires by ensure proper submission of all documents and familiarize them with the Company policies and processes.
- Coordinates and monitors the quarterly performance review of the Company. Collate and submit the outcome report to management.
- Handles the MD’s calendar and sends reminders to her on her appointments.
- Manages and maintains executives’ schedules, appointments, and travel arrangements.
Requirements
- First Degree in  Business Administration or a related field.
- 2 – 3 years’ experience in PA/Administrative role.
- Excellent organization/people management skills.
- Knowledge of Microsoft Office packages.
- Excellent written and verbal communication skills.
- Result oriented and attention to details.
- Solid knowledge of Office Administration, teamwork and self management.
