The Complex

  • The Vice-Presidency People talent Management Complex ensures the delivery of efficient, people-centered, client-oriented, corporate services to ensure overall institutional effectiveness in all aspects of the Bank’s corporate services.
  • The complex leads efforts to ensure the competitiveness of the Bank as the employer of choice and is responsible for providing leadership in the formulation and implementation of the Bank’s strategies on people, IT, general services & institutional procurements, language services, business continuity and health and safety strategies

The Hiring Department / Division

  • The Bank’s Medical Services And Staff Welfare department is responsible for provision of holistic medical, occupational and welfare services for all AfDB staff and eligible dependents both in the Banks’s HQ in Abidjan and the decentralized levels in African Regional Directorates (RDs) and country offices (COs). The total number of our clients is nearly 10,000 staff, retirees and their eligible family members, of which about 25% are currently decentralized. With more decentralization in the context of ongoing Bank transformations and new Development Business and Delivery Model (DBDM) we expect over 10% increase in our decentralized clients.

The Position

  • The Short-Term Staff – Medical Secretary provides administrative and secretarial support for the Medical Services and Staff Welfare department

Key Functions
Under the Supervision of the Country Manager, the Medical Secretary will perform the following:

  • Register, organizes and appropriately classify patients and clients in Bank’s Digitalized Health Management    Information system (both electronically and paper as applied
  • Receive, inform and orient patients, while ensuring that they have been registered and vital signs taken by the nurses
  • Manage effective patient and client flow through appropriate numbering system
  • Maintain hygiene, silence and order of the Medical center’s reception
  • Make and answer telephone calls, and direct them to appropriate clinicians and staff
  • Be the focal point of the patients with appropriate health services by booking and coordinating appointments and manage practitioner schedules.
  • As face of Medical Centre, be compassionate and kind to patients and clients who seek care and guidance
  • Organize internal meetings, ensure notetaking in order to produce general and medical reports.
  • Use spreadsheets and word processing to manage administrative order related to medical records, reports, procurements office supplies orders.
  • Assist staff members with recruitment, contract renewal and annual medical check-ups.
  • Reasonable knowledge in medical terminology, procedures and software systems.
  • Carry out any tasks assigned by the clinical team and the Chief Medical Officer.

Competencies (Skills, Experience and Knowledge)

  • Hold a bachelor’s degree in communications and human resources or a related related field.
  • Have a minimum of four (4) years of relevant experience as a medical secretary or in the medical field.
  • Proof of citizenship or evidence of permanent residency or work authorization in the proposed country of employment.
  • Strict adherence to medical confidentiality.
  • Be familiar with the medical field and the terminology used.
  • Ability to manage priorities and telephone calls.
  • Be self-motivated and assiduous, welcoming, discreet and empathetic towards patients, able to    adapt to the personality of practitioners, etc.
  • Be organized, rigorous, proactive and reactive.
  • Good written and oral communication skills in French and/or English, with a working knowledge of the other language.
  • Good knowledge of IT tools such as MS Word, MS Excel, etc.
  • Good written and oral skills in French or English with a good working knowledge of the other language.
  • Competence in the use of Bank standard software (Word, Excel, Powerpoint and Access). Knowledge of SAP is an added advantage.
