JOB DESCRIPTION

Summary of the Position:

The Human Resources Generalist provides general administrative support to Human Resources staff in several functional areas including recruitment, onboarding, offboarding, employee relations, benefits administration, compensation, payroll, Human Resources Information System (HRIS), and training and development. Supports the HR activities for the department and performs other duties as assigned.

Essential Functions:

1. Serves as a valuable resource to the HR team and employees in multiple areas including: HRIS, compensation, benefits, recruiting, onboarding, payroll, and training and development.
2. Functions as point of contact for employees with general HR-related questions.
3. Independently and accurately responds to employee’s inquiries.
4. Effectively communicates Company policies and programs.
5. Maintains HRIS and timekeeping system including vendor file feeds.
6. Processes various employee updates in appropriate systems related to new employees, employment changes, performance evaluations, benefits management and changes, employee separations, etc.
7. Ensures that HR data (including without limitation payroll, employee and HR vendor data) in HRIS and other systems (such as ZenQMS, SolarWinds, CostPoint, etc) are accurate and up to date.
8. Demonstrates a strong understanding of benefits and benefits administration. Keeps up to date with changing federal and state requirements. Has a positive relationship with benefit vendors and accounts payable. Maintains benefit vendor file feeds, processes benefit invoices and performs invoice reconciliation timely. Serves as backup to 401(k) Plan Administrator/ HR Manager.
9. Demonstrates a strong understanding of state pay and tax laws. Keeps up to date with changing federal and state requirements.
10. Serves as a primary contact for corporate payroll.

11. Ensures timesheets are completed and approved in accordance with the bi-weekly pay cycle.

12. Follows up with employees and managers when timesheets are incomplete or not approved on time.
13. Manages payroll file feeds, generates timesheet reports, and accurately process bi-weekly payroll on time.
14. Responsible for providing annual tax documents to employees and contractors including W-2s, 1099-NEC, 1095-C, etc.
15. Files payroll tax forms with IRS and other required annual reporting/filing, ie. 940, 941, 944.
16. Supports employees and managers with Curriculum Vitae (CV) updates and revisions. Ensures CVs are updated in alignment with policy requirements. Partners with managers to ensure job descriptions are global, up to date, and reviewed in alignment with policy requirements.
17. Prepares required reports for benefits, COBRA, OSHA, EEO, AAP, turnover, and headcount reports.
18. Able to run standard reports and create ad-hoc reports for special projects.
19. Conducts new employee orientation sessions, virtual employee engagement events, and annual open enrollment meetings.
20. Support with employee separation process, including without limitation offboarding from payroll and other HRIS systems.
21. May assists with training and development and the quarterly goals and objectives process.
22. May independently create materials for routine training classes and ad-hoc HR projects.
23. Recommends improvement or changes in systems, processes, or procedures to management.
24. May performs analysis on assimilation/turnover data; analyses and evaluates data.
25. Maintains Company Organizational Chart and other documents on the Company SharePoint as may be required.
26. Supports the HR Manager as requested with the management of the recruitment and talent acquisition process, which may include without limitation, the screening of qualified candidates, background, qualification and reference checks, particularly for managerial, exempt, and professional roles; collaborates with departmental managers to understand skills and competencies required for openings.
27. Supports the HR Manager as requested with guidance to line management when complex, specialized, and sensitive performance questions and issues arise.
28. All other duties as assigned.

  • Ability to handle oral and written communications independently. Able to communicate effectively and tactfully with all levels of staff, individuals from diverse cultures, and the public.
  • Ability to handle a high-level of confidentiality and exercise good judgment.
  • Customer service oriented with ability to work proactively with internal and external clients.
  • Ability to be highly detailed, in a fast-paced environment with quick turnaround times, committed to accuracy, and follow-through.
  • Ability to handle high volume workload with competing deadlines.
  • Handles routine and non-routine administrative projects for the HR Department. Has the ability to recognize situations that deviate from accepted practice. Follows specific standards and procedures to resolve; variations must be approved by a manager before taking action. Errors may negatively impact departmental functions and deadlines.
  • Works with minimal supervision. May offer ideas and suggestions for improving efficiency but does not change procedures without Department Head’s approval.

Position Requirements:

Education: Bachelor’s degree or international equivalent in Human Resources, Business Administration, Psychology, or related field.

Preferred Job-related Experience:

  • Two or more years of experience providing HR services in an office or virtual setting.
  • Two or more years of payroll administration experience is preferred.
  • One or more years of benefit administration is preferred.
  • Proficiency with MS Office Suite (Word, Outlook, Excel, PowerPoint, Teams etc.)

Preferences: One or more years of experience as an HRIS Specialist will be beneficial.

Physical Expectations:

  • Typical office/virtual environment.
  • Ability to sit or stand for extended periods.
  • Ability to move 5-15 lbs.; or 2.26 – 6.8 kg.

Travel Requirements:

  • Expected travel time is less than 10% for this position.
