Center for Advocacy, Transparency and Accountability Initiative (CATAI) is established in 2018 as a registered NGO with Head Office in Maiduguri – Borno State, with offices across Yobe and Adamawa state. We have been visible in Borno Adamawa and Yobe states implementing projects in Education, Protection (Child /GBV), WaSH, Nutrition, Empowerment/Livelihood, Governance and Peace Building. Our approach is aligned with our mission to enhance services delivery and empower citizens, through our Humanitarian, Development, and peace-building nexus(HDP).

We are recruiting to fill the position below:

Job Title: Human Resource Assistant

Locations: Mubi Adamawa and Maiduguri – Borno
Employment Type: Contract
Contract Term: 12 months
Reports To: Human Resources Officer

Job Summary

  • The HR Assistant provides administrative support to the Human Resources (HR) department and plays a key role in various HR functions. The HR Assistant is responsible for maintaining accurate HR records, supporting recruitment and onboarding processes, coordinating employee benefits, providing HR-related information to employees, and assisting with HR initiatives and projects.
  • This role requires a detail-oriented, organized, and proactive individual with a strong understanding of HR practices and policies.

Key Responsibilities

  • Maintain and update employee records, including personnel files, HR databases, and other HR-related documentation.
  • Ensure records are compliant with legal and company requirements, and are stored securely.
  • Assist in the recruitment process by developing job descriptions, person specifications, preparing job advertisements, reviewing applications, shortlisting candidates, scheduling interviews, and supporting the selection process.
  • Coordinate and facilitate the onboarding process for new hires, ensuring a smooth and efficient transition.
  • Assist in the development and implementation of HR policies and procedures that comply with company regulations, labor laws, and best practices.
  • Work closely with department heads and line managers to assist with the interpretation and application of HR policies across teams.
  • Promote equality, diversity, and inclusion as part of the organization’s culture.
  • Provide HR-related information and support to employees on matters like policies, benefits, performance, and company procedures.
  • Assist in the preparation and maintenance of employee handbooks and other HR-related documentation, ensuring they are up-to-date with current laws and company practices.
  • Support in the administration of payroll, ensuring employees are paid accurately and on time.
  • Assist in maintaining employee compensation records and providing support for salary reviews.
  • Assist in managing employee absences, including tracking sick leave, vacation time, and other leave-related activities.
  • Support line managers in ensuring compliance with absence policies.
  • Assist in organizing staff training and development activities.
  • Help administer performance management processes and employee appraisals.
  • Assist in the development and execution of HR planning strategies that address both immediate and long-term staff requirements.
  • Provide support in various HR initiatives and projects aimed at improving employee engagement, retention, and organizational culture.
  • Provide general administrative support to the HR department, including scheduling meetings, preparing reports, and maintaining HR filing systems.
  • Support the HR team in handling employee inquiries and resolving issues promptly.

Key Qualifications

  • Proven experience as an HR Assistant or in a similar administrative role.
  • Knowledge of HR practices, policies, and labor laws.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and HR software.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong problem-solving skills and the ability to work collaboratively with various teams.
  • A proactive attitude and the ability to multitask in a fast-paced environment.

Education & Experience:

  • A Bachelor’s Degree in Human Resources, Business Administration, or a related field is preferred.
  • Previous experience in an HR or administrative support role is desirable.
