We are recruiting to fill the position below:
Job Title: HR Assistant
Location: Maiduguri, Borno
Main Purpose
- Execute administrative, HR and legal related tasks to support the Project HR Manager following MSF standards and procedures, in order to ensure legal compliance and to realize the HR capacity required to achieve project objectives.
Main Duties and Responsibilities
- Under supervision of the Project HR Manager managing personal files in order to ensure accuracy, compliance and on time payments.
- Updating the HR database and personal files to facilitate HR processes management.
- Updating Social security Tax office files in order to meet legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance
- Preparing employment contracts in conformity with legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance.
- Preparing monthly pay slips for all staff, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll.
- Following up of all expiring rental contract dates and inform the Administration Manager in order to leave enough time to arrange a renewal or look for some other alternative
- Making all administrative information available to the staff (posting, meetings, etc.), supporting the Project HR Manager in translating documents into local language and assisting in meetings upon request.
- Additional HR/ Admin tasks delegated by the Project HR Manager.
MSF Section / Context Specific Accountabilities
- Coordinate the recruitment process for the project, including posting job advertisements, scheduling tests and interviews, and communicating with candidates.
- Prepare and distribute HR-related documents, such as employment contracts, offer letters, and internal communications.
- Conducting HR briefing for all new staff
- Provide administrative support to the HR department, including organizing travel arrangements.
- Maintain and update employee records, including personal information, attendance, leave, and performance evaluations, ensuring confidentiality and accuracy
- Maintain and update HR databases, records, and filing systems to ensure information is organized and readily accessible.
- Support the L&D Officer in setting up training and development activities, including assessing the needs for trainings and the administrative work of organizing trainings
- Support Homere Referent in preparing payroll and updating HR data system
- Collaborate closely with HR team of the nutrition project
- Handle sensitive and confidential information with utmost discretion and maintain a high level of professionalism in all interactions.
- Contribute proactively to the achievement of HR departments goals through active participation.
- Any additional HR/ Admin tasks delegated by the Project HR Manager.
