Job Title: Hotel Group Secretary (Female)
Location: Ikeja, Lagos
Job Summary
- A Hotel Group Secretary with a legal background (LLB) serves as the legal and administrative backbone of a hospitality group.
- This professional plays a dual role—providing corporate secretarial services while also offering legal support to ensure regulatory compliance, protect the group’s interests, and support executive operations.
Key Roles and Responsibilities
Corporate Governance and Compliance:
- Ensure all hotels within the group comply with corporate regulations, licensing, and statutory obligations.
- Prepare, file, and manage all legal documents required by CAC and other relevant bodies.
- Organize and maintain updated corporate records, board resolutions, and statutory registers.
Legal Advisory and Support
- Provide legal counsel on contracts, partnerships, staff disputes, and service agreements.
- Draft, review, and interpret legal documents (leases, contracts, MOUs, vendor agreements, etc.).
- Identify legal risks and advise management on preventive strategies.
Board and Management Support
- Organize board meetings, prepare agenda, take minutes, and follow up on resolutions.
- Act as a liaison between the board of directors, executive team, and external stakeholders.
- Maintain confidentiality and professionalism in all dealings.
Contract and Documentation Management
- Draft and review hotel operating agreements, franchise agreements, and supplier contracts.
- Ensure all contracts are legally sound and align with the group’s business objectives.
- Monitor contract renewals and expiration deadlines.
Regulatory Liaison
- Liaise with government agencies, corporate bodies, and industry regulators.
- Ensure timely renewal of operational licenses, permits, and certifications.
- Handle hotel-related legal issues, inspections, and investigations.
Dispute Management and Litigation Support
- Manage legal disputes involving the hotel group and coordinate with external counsel where needed.
- Prepare documentation and evidence for legal proceedings.
- Follow up on court cases and settlement processes on behalf of the group.
Policy Development and Enforcement
- Assist in the development of internal policies in line with labor law, hospitality law, and corporate governance.
- Train management and staff on legal aspects of operations, HR practices, and ethical conduct.
Confidential Administrative Support
- Handle sensitive company matters including mergers, acquisitions, land/property transactions, etc.
- Maintain high-level administrative efficiency, documentation, and secure recordkeeping.
