The Alliance for International Medical Action (ALIMA) is an international medical organization, founded in 2009. ALIMA’s aim is to provide a high standard of healthcare in situations of emergency or medical disaster and to improve the practice of humanitarian medicine by developing innovative projects associated with medical research. The specific feature of the association is to base its operating methods mainly on partnership with national medical players. By pooling and capitalizing on their skills, ALIMA and its partners give as many people as possible access to a high standard of treatment. Since its creation, the association and its partners have successfully developed in line with the increase in humanitarian medical needs, especially in Western and Central Africa: 580,000 patients treated in 2014 including over 25,000 hospitalizations, new governance between the partners of the medical NGO platform in the Sahel, new innovative approaches and operational research projects. ALIMA also responded to the Ebola emergency by opening a 40-bed Ebola treatment centre in Guinea. With operations in eight countries, 15 projects, over 1,200 employees and a budget of €19.5 million, ALIMA is a dynamic NGO, effectively deploying medical aid for the most vulnerable.

MISSION AND OBJECTIVES
Supervise the daily logistics activities and provide maintenance to the ALIMA equipment, facilities and infrastructures, according to ALIMA protocols in order to maintain the facilities in perfect conditions and collaborate in the development of the mission.
TASKS & RESPONSABILITIES
Base & facilities Management
Evaluating rehabilitation needs and following up minor building rehabilitation work in accordance with instructions given by his supervisor, and accounting to him/her on progress.
Monitor maintenance activities of infrastructures and write reports
Ensure the check and follow-up of facilities under the line manager supervision.
Carrying out daily visits to the facilities, reporting any anomalies or problems to the line manager.
Supervise the daily logistics activities and provide maintenance to the ALIMA equipment’s, facilities and infrastructures, according to ALIMA protocols in order to maintain the facilities in perfect conditions and collaborate in the development of the mission.
Make sure that the compound & office facilities are clean & neat at all times, allocate specific duties and communicate effectively to the relevant staff.
Ensure that all gardening & watering is made regularly to the guest house & offices including pruning tasks at all times.
v Assets Management
Management of non-medical stocks and equipment according to ALIMA standards, have stock management cards and track consumption rates, manage the wastage rates.
Ensure that All fixed Assets & equipment are codded, labeled & tagged in visible terms as per ALIMA’S standard Codding system & are tagged accordingly
Update the fixed Assets register on a regular basis and track movement of Assets as per standards.
Follow up on Asset & Equipment status for maintenance & disposal purposes based on ALIMA’S standards & Donor requirements
v Ware house/store & Stock Management
Manage and follow up orders
Responsible for Reception of goods from National & International orders.
Responsible for checking of the quantity and quality of goods received.
Use Goods Receiving Note/Goods reception when receiving goods.
Inform the line managers of any problems (missing or damaged goods, etc.) make a formal written report or verbal.
Update stock cards and/or create stock cards for all stock items and update the stock tracking sheet.
Ensures that all stock movements are recorded according to ALIMA purchase and supply procedures.
Set up and maintain a proper organization of the storage area according to family, storage procedures, and that all correctly stored, well protected, fully identified and easily accessible (cleanliness, security, access, etc.).
Keep a special control of “sensitive” goods numbers of lots, expiry dates, and packaging and special storage conditions.
In conjunction with the supervisor, perform physical stock counts in accordance with the frequency previously defined.
Prepare the biweekly & monthly mission stock reports, and share with the logistics manager, both written and verbal reports.
Prioritize sending of goods according to field needs and order delivery limits
Prepares stock requests on time before sending goods, ensuring good quality of packing material.
Ensure correct documentation of sent good (stock cards, way bills, packing lists, logistics.
Keep areas of storerooms and warehouses clean and tidy at all times.
Assist in loading and off-loading of vehicles when receiving or sending goods.
v Safety & security Management
Checking that premises observe safety and security norms (fire extinguishers present, electrical installations earthed, etc.) and take the necessary actions when improvements are needed.
Ensure surveillance and guarding activities in all ALIMA facilities and premises are correctly implemented.
Interact with the locals and Alima security contact personnel, in the state, update the PC on the security details and during the Monday security briefs.
v Fleet & Transport Management
Carrying out or supervising all maintenance logistics activities in the guest house & offices (vehicles, fuel consumption, and local infrastructure) according to ALIMA standards and protocols in order to have the material, infrastructure and vehicles in optimal running conditions
Planning and tracking of the movements
Supervise, motivate and train all drivers to ensure the adherence of all ALIMA’s driving rules and regulations
Proper treatment of their vehicles and damage prevention
Manage vehicles & generators Log sheet & fuel consumption, share your weekly report with the Log Manager.
Motor & vehicles maintenance, service tracking, liaise with the vendor.
Movement plan, although currently ensure vehicles have adequate fuel and in good shape throughout the week ready for traveling.
Drivers shift and Scheduling, update the roster and let us know the drivers on duty.
v Communication and IT
· Responsible for the correct functioning of the communication systems: correct installation and maintenance of server
· Ensures the monthly backup and maintenance of project computers including virus definition updates with in communication of ICT supervisor.
v Filling documentation & Reporting
Report any incidents to supervisor (accidents, loss or damage of goods/equipment etc).
Immediately inform the line manager of any problems arising in the course of the work, particularly with regard to damage, loss, attempted break-ins or theft in the warehouse
Reports monthly on potential ruptures and any items that will expire, share the written
v Maintenance and construction
Ensure the check and follow-up of facilities (office compound, Guest house residences …) under the line manager supervision.
Carrying out regular visits to the office & GH facilities, reporting any anomalies or problems to the line manager.

Check and maintain the waste management
v Peoples Management.
Manage the guards, drivers ALIMA & Outsourced drivers (ALIMA & outsourced) and daily workers recruited in your area of operations.
Have a duty roster for the staff, track their leave days, have a JD for them and subsequent meetings to ensure no gaps in the areas of operations.
v Implementation of prevention measures against abuse of power, gender-based and sexual violence:
Ensures that your team, partners and community members are aware of ALIMA’s policy and have access to information (complaint escalation mechanism, focal point…).
Facilitates the organization of training and awareness sessions
Implements standards related to the prevention of abuse of power, gender-based violence and sexual violence.
Contributes to creating and maintaining a nurturing and protective environment for your team, community members and project partners.
EXPERIENCE AND SKILLS
Education:
- Degree or HND in Transport and Logistics or another related field.
Experience
- Required 2-3 years of previous experience in the Logistics Department as well as previous experience in Supply chain-related position. Experience with ALIMA or other INGO is desirable.
Required Skills
- Essential computer literacy (Excel, Word, Outlook and Internet)
- Well organized with good negotiation and communication skill
- Ability to work as part of a team, a part of multi-cultural and multi-disciplinary team, in emergency and under pressure, to manage stress easily and result oriented
- Ability to work in close collaboration with MOH staff
- Can work and create teamwork, flexible, and committed to the assigned position
- Interest in and commitment to ALIMA’s activities.

CONDITIONS
Contract term: contract under Nigerian law, 4 months renewable with 1months of probation. Level 5
