Event Planner for RRA Partnership Day Maiduguri, Borno State
Background:
Borno’s history was marked by significant commercial activity, making it an economic powerhouse in the Northeast. However, the conflict has disrupted its development and opportunities. With peace and normalcy returning, the government is committed to reviving economic activities to restore Borno’s status as a vibrant commercial hub and unlock new growth opportunities. Achieving strategic development goals will require investments from both the public and private sectors. Borno holds significant potential for private sector investments, which continue to show interest despite the challenges. These investments could accelerate the state’s recovery and development.
The government has committed to attracting private sector investments through the Borno State 25-Year Development Framework, which includes a 10-year transformation strategy. The development plan envisions Borno as “a secured, competitive agri-business and commercial hub anchored on prosperous people and sustainable development.” This plan is built on five pillars: Human Capital Development, Leadership in Agriculture, Healthy Citizenry, Sustainable Environment, and Regional Trade Hub.
The Feed the Future Nigeria Rural Resilience Activity, funded by USAID and implemented in Northeast Nigeria, facilitates economic recovery and growth in vulnerable, conflict-affected areas. Its primary purpose is to help people overcome chronic vulnerability and poverty by providing expanded and sustainable economic opportunities.
In Borno State, the Activity has been instrumental in facilitating trade in agricultural commodities and attracting investments exceeding US$20 million between 2019 and 2024. This has created or improved economic opportunities for 260,000 people in the state during the same period. By adding jobs along various value chains, the Activity has significantly contributed to employment opportunities and livelihood improvement for rural households.
Additionally, the Activity provided direct cash assistance to 9,213 participants to fund agricultural inputs for farmers and working capital for micro, small, and medium enterprises (MSMEs). This financial support has played a vital role in enabling agricultural production and promoting entrepreneurship, thereby strengthening the local economy.
The Activity aligns closely with the Borno Delivery Support Unit (BDSU), which is spearheading the translation of the state’s five Sustainable Development Goals. This alignment presents a significant opportunity for collaboration, including co-hosting a private sector day in the state. The private sector day will facilitate the sharing of insights and scaling up of successful initiatives implemented by the Activity that promote economic recovery and growth—key areas that align with the government’s development strategy. The collaboration aims to create synergies between Mercy Corps’ development interventions and the State’s broader development plan, maximizing impact towards sustainable economic growth in Borno.
The Activity is set to facilitate a partnership Day Event which is scheduled for Tuesday, August 27th, 2024 in Maiduguri, Borno State.
Purpose / Project Description:
The purpose of the event planner is to ensure smooth coordination of the Rural Resilience Activity’s Partnership Day; creating a good ambience (Decoration), engage a master of ceremony (MC), engage a professional rapporteur, provide a photo booth, provide exhibition Booths, full stage and hall lighting with effects, LED display Screens and Live Broadcast coverage, and ushering services.
The professional event planner will deliver on the below close-out related objectives and deliverables.
Consultant Activities:
The Consultant – Event planner will:
- Coordinate with the Master of Ceremony (MC), and Moderator(s) of the panel sessions.
- Hall and marketplace (exterior) decoration: Create good ambience at the event hall and marketplace (outdoor exhibition) with colourful decoration.
- Exhibition Booths: Provide 100 booths for the partnership day. (Picture Attached)
- Photo and camera Booth: Provide the Partnership Day branded photo booth/red carpet area and a 360 camera Booth.
- Ushering services: Provide at least 10 Ushers to attend to guests. The ushers should be well dressed and covered.
- Engage a Master of Ceremony (MC): He/she must have good public speaking skill, ability to engage a large audience and a technical knowledge of the Northeast. Ability to speak Hausa is a significant advantage.
- Engage a professional Rapporteur: He/she must have strong analytical and writing skills (including excellent graphics skills), attention to detail, understanding of the event context and subject matter.
- Provision of Stage Layout.
- The Event Planner should measure and provide branded backdrop for the stage, the walkways, the entrance of the venue and photo area. (As Specified by RRA’s Communication Team)
- Provide 7 chairs and 7 conference microphones (table microphones for the panellists) with clear sound.
- Provide laptops for streaming and projection, led processors, cables, and accessories.
- Ambience Lighting: LED parcens, light stands, cables, and accessories.
- Provide Public Address System for Sound: (line array speakers, digital sound mixer, amplifiers, Subwoofers, cordless microphones).
- Provide Television Broadcast and live streaming services (recording camera HD grade, sound card, and live streaming). This will be in liaison with the RRA Communication team and selected Broadcast agencies and channel. A minimum of 2 hours Live broadcast on terrestrial and National platform will be considerable. (These is subject to discussions with the RRA’s Communication Team)
- Facilitate graphic designs and QR code (bar code) generation for the Event Brochure.
- Display of panellists’ profiles on 2 live screens (2 LED Mega Screens on the left and right) when they are being introduced. A third screen will be station at the exhibition spot.
Precautionary Measures
- Pre-Event: The Event Committee to hold a meeting with the Event Planner to discuss in detail what is expected from the event planner before, during, and after the event.
- Ensure smooth coordination of the RRA Partnership Day event before, during, and after the event.
- Ensure the 2 LED Mega Screens are clear and capture the sessions during projections.
- Ensure smooth sound and avoid echoing during the facilitation sessions by the Moderator and panellists.
- Ensure the recording camera has adequate features for clearer recordings.
- Ensure Live stream and Broadcast stations are on ground before the event commences.
Consultant Deliverables:
The Event Planner will:
- Be available for set up on 26th August 2024 evening at the event location.
- Be available for a dry run-on 26th August, 2024 evening at the event location.
- Attend coordination meetings with the RRA EIF Team and Communications teams.
- Ensure smooth coordination of the Partnership Day before, during, and after the event.
- Provide ushers, photo boot, full lighting, and multimedia coverage for the event on 27th August 2024.
Timeframe
Video recordings of live streaming of the event should be submitted on 1st September 2024.
Detailed Report to be summited on the 3rd of September 2024.
