The Lagos Chamber of Commerce and Industry was established for the promotion and protection of Trade and Industry and to represent and express the opinion of the business community on matters affecting trade and industry in the city of Lagos, the Lagos Port Complex, Lagos State and where applicable, the whole Federation.

We are recruiting to fill the position below:

Job Title: Administrative Manager

Location: Lagos

Reports to: Director General/Membership Committee
To supervise: Senior Officers, Officers, Office Assistants and Transport Personnel

Description

  • We need a resourceful, innovative, and experienced Administrative Manager to join our team.

Job Summary

  • To coordinate the Chamber’s administration system, supervise the administrative team and ensure that the daily tasks are carried out seamlessly.

Reports to:

  • Director General/Membership Committee

To supervise:

  • Senior Officers, Officers, Office Assistants and Transport Personnel..

Responsibilities 
General / Office Management:

  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
  • Assess Administrative staff performance and provide coaching and guidance to ensure maximum efficiency.
  • Ensure the smooth and adequate flow of information to facilitate business operations.
  • Manage schedules and deadlines.
  • Purchasing of office furniture and equipment.
  • Maintenance of facilities – electrical, plumbing etc.
  • Generation and implementation of budgets.
  • Evaluating the efficiency of facilities.
  • Managing and administering repair and maintenance programmes at all locations
  • Vetting/ensuring prompt payment of statutory bills to relevant bodies/ authorities (PHCN, water rate and other local government charges).
  • Managing / monitoring diesel usage and supply.
  • Responsible for office space planning and optimization.
  • Renewal of local leases as at when due and ensuring prompt payment of grand rent
  • Asset Management (keeping track of assets).
  • Record keeping and maintenance of the Chamber’s administrative files.
  • Handling of float for the Chamber and retiring its usage to the Accounts department

Meeting Management:

  • Performs Secretariat functions for the Chamber with regards to:
  • Attending the meetings and ensuring the proper documentation is obtained and maintained.
  • Documenting meeting minutes and maintaining their confidentiality.
  • Ensuring that conference/ meeting refreshment items are always available.

Fleet Management:

  • Ensure the maintenance of the organisation’s fleet by
  • Coordinating the Transport Unit
  • Ensure that the Chamber vehicles (cars and motorcycles are in good operating standards and the vehicular documentation is up to date
  • Supervise the functions of the drivers and the dispatch riders.
  • Ensuring scheduled and ad-hoc maintenance

Procurement and vendor management:

  • Procurement of Office Supplies and Inventory Management.
  • Liaising with vendors and submitting quotations for approval;
  • Organise the provision and sustenance of office supplies
  • Monitoring the quality and cost of items procured.

Job Requirements / Competencies

  • Education: Bachelor of Science (B.Sc) in Social Science, Business Management or its equivalence. Master’s Degree or professional membership relevant professional qualifications such as ICSA, ISMNc, CIM, (required) etc.

Experience:

  • 10 years cognate experience and minimum of 4 years as Head of Admin Department will be a good advantage. The candidate must also demonstrate experience in core functions of an Administrative Manager.

Skills:

Communication Skills:

  • Excellent Communication skills (both in written and in verbal form)
  • Ms Office : A candidate for the position must be highly proficient in the use of Ms Word, Ms Excel, and PowerPoint, proficiency in effectively using relevant software.

Analytical Skills:

  • A candidate for this position must possess strong analytical skills and be able to demonstrate passion for resource management.

Interpersonal Skills :

  • A candidate for this position must have an ability to prioritize tasks completing multiple tasks in a timely manner, be flexible and welcoming to change, have an ability to work independently with minimal or no supervision, and be self-motivated.
  • He or she must also be a prompt decision-maker, be a strategic and creative thinker, have excellent problem-solving skills, have a positive and easy-going attitude, demonstrate strong work ethics and integrity, and demonstrate calmness and composure in times of uncertainty.

Leadership / People Skills:

  • The candidate must additionally demonstrate strong leadership qualities where he or she shows an ability to influence team members, engage relevant stakeholders.
