Kalthum Foundation for Peace is recruiting qualified candidates to fill the position below:

Job Title: Finance and Administrative Manager

Location: Maiduguri, Borno
Duration of Work: 6 months with the possibility of extension.
Report to (Hierarchical): Chief Executive Officer
Report to (Function): Project Manager

Job Summary

  • Planning, coordinating, and implementing Financial, Admin, and Human resources activities and policies according to legal obligations, standards, and procedures to provide quality, reliable, and transparent information to the organization.

Functions
Accounting Management:

  • Check all accounting documents to meet necessary quality standards.
  • Submit payment requests to the budget holder for validation.
  • Prepare payment lists with the support of the program team leader.
  • Process payments.
  • File hard copies of documents and record information in Excel.
  • Crosscheck all transactions in the bank and cash journal.
  • Proceed with monthly accounting closure reporting.

Budget Management, Treasury, and Internal Control:

  • Lead budget planning and forecasting.
  • Ensure budget implementation and monitoring.
  • Prepare quarterly cash requests based on funding agreements.
  • Ensure KFP treasury has a sufficient balance.
  • Crosscheck the rooster and working hours.
  • Support monthly items inventory control.
  • Crosscheck prices of goods and services in Maiduguri.

Administrative and Human Resources Management:

  • Coordinate and schedule meetings and appointments.
  • Maintain and update project documentation.
  • Assist in the recruitment and onboarding of project staff.
  • Provide administrative support to project team members.
  • Maintain project databases and filing systems.
  • Prepare labor contracts between KFP and recruited employees.
  • Control timesheets or roosters and working hours.
  • Manage the payroll of KFP staff.
  • Manage leaves and disciplinary processes.
  • Support capacity-building needs assessment and training plan.
  • Ensure monthly Human Resources reporting.

Qualifications and Requirements

  • Bachelor’s Degree in Finance, Accounting, Business Administration, or a related field.
  • Proven experience in financial management, budgeting, and administrative roles.
  • Strong knowledge of accounting principles, procedures, and standards.
  • Familiarity with HR policies and procedures.
  • Excellent organizational and multitasking skills.
  • Strong interpersonal and communication skills.
  • Proficient in Microsoft Office Suite and accounting software.
  • Ability to work independently and collaboratively in a team environment.
