Job Title: Business Assistant (Luxury Travel Agency)
Location: Lekki, Lagos

Summary of the Role
- The Business Assistant would provide operational and digital support to the CEO—keeping the business humming while building smart systems to create an excellent client experience behind the scenes.
- The successful candidate will provide administrative, logistical, and light client-facing tasks with grace and discretion. Support day-to-day administration, support automations services, that improve the client experience.
- Your work will directly contribute to how effortlessly and delightfully our clients experience travel with us. Function as an Executive Assistant, and Operations Coordinator.
Key Responsibilities
Executive & Administrative Support:
- Manage founder’s inbox, scheduling, and calendar across multiple time zones
- Track and follow up on to-dos, decisions, and action items across internal and client-facing projects
- Help with document preparation (contracts, proposals, invoices, etc.)
- Liaise with vendors, contractors, and partner services
- Conduct industry and market research to support strategic initiatives, helping the Founder make data-informed and cutting edge decisions
Business Operations & Project Management:
- Assist in onboarding new clients using standardized workflows and forms
- Maintain and update client files, CRM entries, and internal documentation
- Support trip planning workflows (e.g., tracking logistics, checking availabilities, formatting itineraries… using tools like Tern, Travefy, or similar)
- Ensure travel documents and communications are polished and sent on time
Automation & Tech Enablement (Strongly Preferred):
- Identify and implement process automations (e.g., email sequences, form workflows, Zapier, Airtable/Notion automations)
- Use AI tools (like ChatGPT, Claude, or others) to draft content, documents, or optimize systems
- Leverage AI to support content creation, itinerary formatting, or client-facing deliverables
- Bonus: Build simple AI-powered tools or apps that enhance internal workflows or client experience
Marketing & Brand Support (as needed):
- Support with content editing or social media scheduling as relevant
- Format travel proposals or presentations in Canva or similar tools
- Keep website, digital assests and client resources organized and updated
Confidentiality & Discretion:
- Handle sensitive information and documents with the utmost confidentiality and integrity
- Assist with occasional personal tasks as needed to support the Founder’s work-life balance
Work Schedule Requirement:
- Primary working hours will be 4am – 1pm U.S. Pacific Standard Time with periodic requirement to work early and late hours and weekends.

- Travel-Savvy (a plus): You don’t need to be a travel agent, but understanding destinations, trip logistics, and luxury standards is a bonus.
Qualifications
- Education: Bachelor’s degree from a reputable university or HND from a reputable polytechnic.
- 2+ years in a support role (executive assistant, business operations, project coordinator or similar) with experience in a startup Technology or Hospitality Tech environment a plus.
- Exceptional written and verbal communication skills
- Strong familiarity with tools like Notion, Google Workspace & Microsoft Office Suite, Zoom, Slack, Tern/Travefy/Axus (or willingness to learn) and familiarity with project management tools (e.g., Asana, Trello).
- Entrepreneurial mindset and a willingness to take on new challenges with a flexible, can-do attitude.
- Experience with automation platforms (e.g., Zapier, Make/Integromat) and AI tools (ChatGPT, Midjourney, etc.).
Salary
N250,000 – N300,000 monthly.
