Job Summary
- The position of Office Assistant will be responsible for all office support functions, which include: social media management, customer relationships, operations, and inventory for the organisation.
Key job responsibilities
Office Management:
- Guide the operations of the office to ensure smooth functioning and a productive work environment.
- Manage office supplies inventory and place orders as necessary to prevent disruptions.
- Organize and maintain filing systems for company documents, ensuring security and easy access.
- Coordinate and schedule meetings and appointments
- Ensure compliance with company policies and procedures, as well as health and safety regulations.
- Team Coordination: Serve as the primary point of contact for internal teams and external vendors
Social Media Management:
- Oversee the company’s social media presence, ensuring consistent branding and messaging.
- Create and schedule engaging content tailored to the paper packaging industry’s target audience.
- Monitor social media channels for customer inquiries, feedback, and engagement opportunities.
- Collaborate with marketing teams to align social media efforts with broader company goals.
- Analyse social media performance metrics and provide insights to improve reach and engagement.
Customer Service and Relationship Management:
- Actualisation between clients and the company, ensuring excellent service and timely communication.
- Address customer concerns and inquiries professionally and efficiently.
- Develop strong relationships with clients and vendors to support business objectives.
Operational Support:
- Support the Store Manager by coordinating logistics, managing timelines, and tracking order statuses.
- Ensure that all office equipment is maintained and functioning properly.
- Identify areas for process improvement and implement solutions to enhance efficiency.
Inventory Management:
- Inventory Tracking: Maintain up-to-date records of packaging products, supplies, and raw materials.
- Order Coordination: Manage inventory reorders, ensuring stock levels are optimal and deliveries are timely.
- Warehouse Organization: Assist with organizing and maintaining the storage of
- Inventory for efficient access and safety compliance.
- Vendor Communication: Collaborate with suppliers to ensure on-time deliveries and resolve issues with returns, exchanges, or discrepancies.
- Inventory Reporting: Prepare and share regular inventory status reports with the Store
- Manager to prevent overstock or shortages.
Salary
N70,000 per month.
