Job Title: Executive Secretary

Location: Abuja (FCT)
Employment Type: Full-time

Job Summary

  • The Executive Secretary provides high-level administrative support to senior executives, ensuring the smooth operation of the organization.
  • This role requires exceptional organizational, communication, and problem-solving skills.

Key Responsibilities

  • Provide administrative support to senior executives, including scheduling appointments, managing calendars, and making travel arrangements.
  • Prepare and edit correspondence, reports, and presentations.
  • Manage and maintain confidential and sensitive information.
  • Coordinate meetings, conferences, and events.
  • Develop and implement administrative processes and procedures.
  • Manage and track expenses, invoices, and receipts.
  • Provide customer service and respond to inquiries.
  • Maintain relationships with internal and external stakeholders.
  • Stay up-to-date with organizational policies, procedures, and initiatives.
  • Perform other administrative tasks as required.

Skills and Qualifications
Essential:

  • High School Diploma or equivalent required; associate’s or Bachelor’s degree preferred.
  • 5+ years of experience as an executive secretary or administrative assistant.
  • Excellent communication, organizational, and time management skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong problem-solving and analytical skills.

Desirable:

  • Experience working with senior executives or high-level government officials.
  • Knowledge of administrative software and systems.
  • Certification as a Certified Administrative Professional (CAP) or Certified Professional Secretary (CPS).
  • Bilingual or multilingual skills.
