The Alliance for International Medical Action (ALIMA) is an independent humanitarian medical NGO that was created in 2009 by professionals of humanitarian medicine. ALIMA’s mission is to provide medical care in emergency situations or medical catastrophes. We are recruiting to fill the position below: Job Title: Pharmacy Supervisor LocationMaiduguri, Borno Employment Type: Contract Contract term: Contract under Nigerian law, 6 months renewable Report to (Direct): Project Medical Referent Report to (Functional): Mission Pharmacy Manager Staff Reporting to him/Her: Pharmacy Technician and Pharmacy Store Keeper Protection of Beneficiaries and Community Members

  • Level 3: As part of his/her duties, the incumbent will visit programs and come into contact with children and/or vulnerable adults.
  • Therefore, a criminal record check or a certificate of good character will be required. In situations where a criminal record check or character reference is not possible, a declaration on honour will be requested.

Main Activities

  • Ensure the proper management of the medical stock in accordance with the standards established by ALIMA, as well as medical supplies within the project.
  • Ensuring good hospital pharmacy distribution practices, in particular the storage, supply, distribution and rational use of medicines, in order to guarantee their effectiveness and operational availability in accordance with ALIMA’s standard practices and protocols.
  • Train and supervise drug distributors or storekeepers within the project.
  • Ensure the capitalization of the pharmacy activity (indicators).

Core Tasks Pharmacy Management:

  • Ensure that the stock is clean and organized according to ALIMA standards and the medicines stored according to ALIMA recommendations.
  • Ensure the reception and recording of international and local orders with the pharmacy storekeeper if necessary.
  • Record all inputs and outputs on Saga stock.
  • Supervise the preparation of orders for each consumption unit.
  • Archive each document in the corresponding folders (orders, packing lists, donation and loan certificates, etc.).
  • Be responsible for security and access control to the medical stock.
  • Ensure the capitalization of the pharmacy activity (indicators)
  • Follow-up of orders and supplies:
  • Ensure that orders for consumption units (services, health posts, emergency boxes, etc.) have been validated by the supervisor concerned.
  • Track the remaining orders.
  • Ensure the follow-up of stocks and inform on time the medical referent on the status of stocks (shortage, overstock, sleeping stock, expiry dates…); also remove expired products from stock.
  • Ensure patient safety by complying with the protocol and the rational drug use with the support of country pharmacist manager
  • Accompany the medical team in the good pharmacy practices with the support of country pharmacist manager
  • Make a regular physical inventory (organize and participate), and imperatively at least before the preparation of each order in central pharmacy and international order.

Cold chain monitoring:

  • Check the temperature of the cold chain equipment every morning and evening, and record it on the temperature monitoring sheet.
  • Ensure the maintenance and upkeep of refrigerators and freezers according to ALIMA recommendations by the logistics team.
  • Report any breakdown in the cold chain
  • Inform your manager and logistics in case of problems.

Report:

  • Prepare and share with Medref the monthly report (Saga stock report) including stock status (shortages, overstocks, dormant stocks, expiry dates), in order to maintain safe stock levels at all times and ensure effective management, and submit the monthly report on time.
  • Prepare a report after receipt of medical items in the pharmacy and send it to the appropriate person.
  • Make a weekly backup of saga stock and send it to the country pharmacist Manager and the Medref.

Meetings and others:

  • Participates in meetings with other supervisors in order to ensure smooth collaboration of all departments in terms of activities running.
  • Perform any other duty as assigned by the organization through the Medical referent or country pharmacist manager.

Education, Work Related Experiences & Skills Education:

  • Bachelor’s Degree in Pharmacy or a related field; Master’s degree is a plus.
  • Relevant experience of at least 2 years in pharmaceutical supply chain management, regulatory compliance, and healthcare programs within the context of international development or humanitarian work.

Experience:Skills:

  • Knowledge of local and international pharmaceutical regulations, quality standards, and procurement processes.
  • Strong organizational and problem-solving skills, with attention to detail.
  • Excellent communication and interpersonal skills for effective collaboration and training.
  • Proficiency in relevant software applications, including Microsoft Office suite and pharmaceutical inventory management systems (Saga stock).
  • Ability to work in diverse cultural and challenging environments, often with limited resources.
  • Fluency in written and spoken English; knowledge of local languages is advantageous.
  • Commitment to the organization’s mission, values, and ethical standards.

Languages:

  • English compulsory
  • Others are an asset like Hausa, Kanuri.
