General Outline
- The Finance Unit is responsible for the timely, complete and accurate registration of transactions in the accounting system of KNCV and related legal entities and for reporting to internal and external stakeholders. Furthermore, the Unit develops and supports the financial management system by operating an effective and efficient planning and control cycle, by designing and maintaining the administrative workflows and internal control procedures and by implementing and maintaining relevant IT applications.
What is the purpose of the job?
- The Finance Manager is responsible for the overall finance management of the KNCV International branch office in Nigeria, the payroll and all finance issues related to the general ledger, accounts payable, receivable (0.5 FTE). The Finance Manager is also responsible for the finance and admin support to KNCV Nigeria (0.5 FTE).
What are the duties and responsibilities of this position?
- Overall responsible for the financial management of the KNCV Nigeria International branch office;
- Ensures the monthly payroll payment is processed accurately and on time for all staff;
- Responsible for analyzing and approving payroll data to determine if additional accruals and/or corrections are necessary (including ex-pat payroll);
- Manage the creation, improvement, and implementation of financial policies and procedures for the organization in line with nonprofit and customer requirements;
- Advise management in financial decision-making and systems development and improvement;
- Oversee the accuracy of the organizational accounting records and maintain the chart of accounts;
- Monitor the security of the organization’s financial assets;
- Supervise month-end closings and bank reconciliations;
- Review project award and sub-award documents and budgets as needed;
- Support the annual budget preparation process.
Team Management
- Deputize for the KNCV Director of Finance and Operation when he is on leave;
- Manage the employee expense reports review process;
- Work with staff as appropriate in achieving financial management goals;
- Analyses developments with respect to the administrative organization, internal control, and planning and control cycle;
- Conducts research into and gives advice on the consistency and effectiveness of the administrative organization;
- Formulates objectives and standards for the administrative organization and internal control and sees to implementation and monitoring.
Reporting and providing financial information
- Oversee the routine generation of timely and accurate internal and external financial reports, including monthly and annual financial statements;
- Provide financial analyses, reports, and forecasts to management;
- Prepare/review all financial reports for various donor organizations. (Report to USAID, KNCV HQ, Global Fund Report);
- Collects the financial data needed to compile a variety of reports, plans, and budgets;
- Provides the explanation, substantiation, analyses, and statements required to draw up plans and reports;
- Identifies deviations in the realization vis-Ã -vis those agreed.
Audits and internal controls
- Direct completion of the annual audit and tax returns;
- Act as a contact person and conducts internal audits in the regions and follow up findings;

- Draws up general planning and control principles, guidelines, and procedures and sees to compliance and effect;
- Establish and monitor adequate internal controls.
Other tasks
- Prepares journal entries, e.g., severance accruals in the general ledger;
- Prepares account reconciliation of all payroll-related balances accounts monthly;
- Controls the monthly deduction for pension premiums and social insurance; validates and approves pension and social insurance payments;
- Responsible for the optimization of payroll processes & systems in collaboration with HR;
- Collaborates with HR on payroll accounting-related matters;
- Ensure timely production, and support review of, project invoices;
- Sees the maintenance of the financial information systems, identifies bottlenecks, and takes the necessary steps to solve these;
- Offers advice and assistance in the form of management information which makes it possible to take corrective action in due time;
- Every other task assigned by the DFO of KNCV Nigeria and the Director of Finance KNCV International;
- Every other task assigned by the ED of KNCV Nigeria and the Project Director of Cepheid.
Who are we looking for?
Education
- Bachelor/Master degree in Accounting, Finance and or Business Management or a relevant field;
- Possession of ICAN or ACCA is mandatory.
Knowledge/Experiences
- At least 7 years of experience in finance management, accounting and working in a project setting;
- Demonstrable experience with accounting and financial reporting in USG supported projects;
- Knowledge of relevant accounting software systems (EXACT Globe) and excellent Excel knowledge;
- Proficiency in the use of computer application (Microsoft office etc);
- Excellent written and verbal English communication skills.
