JOB SUMMARY:  

  • The Assistant, Warehouse is assisting supervisor in accounting for goods stored in the warehouse, their proper management under good storage conditions and for documenting and reporting all warehouse transactions in a transparent manner and in accordance and compliance with International Medical Corps Warehouse Manual, donor requirements and local laws, as applicable.

MAIN TASKS AND RESPONSIBILITIES

  • Assistant, Warehouse is assisting supervisor in: 
  • Implementation of IMC warehouse procedures as per IMC Warehouse Manual 
  • Ensuring appropriate storage condition for all commodities, including temperature and humidity control, and isolation of dangerous goods and goods not fit for end use (i.e., damaged/expired goods). 
  • Monitoring stored items shelf life
  • Reporting of any losses or damages of commodities, processing stock adjustments and alerting stock owners on discrepancies that should be investigated. 
  • Maintaining accurate stock records by item and project. 
  • Maintenance of relevant handling equipment and availability of packing materials, cleaning materials, and protective equipment and supplies
  • Supervising casual labor working in the warehouse, as well as visitors.  
  • Reception of goods physical count (preparation of GRN) and Quantity Control processing with management assigned staff. 
  • Ensuring that the proper stacking and organizing of stocks and optimizing the use of warehouse indoor/outdoor space. 
  • Quality control over kitting/de-kitting/reconditioning/reconstituting operations. 
  • Preparing release of goods in line with approved Goods Issue Orders (GIOs).  
  • Ensuring that the items in the warehouse and outgoing dispatches are appropriately packed and thus reducing the risk of damage during handling and transportation. 
  • Overseeing loading of commodities and documenting cargo handover to transporter/recipient. 
  • Ensuring warehouse cleaning, disinfecting and making sure it is kept dry, well-organized and pest/rodents free, etc. 
  • Compliance, Audit and related controls 
  • Responsible for compliance of performed or supervised warehouse activities in line with IMC policies and procedures and applicable donor rules s and local laws and regulation. 
  • Assists in timely submission or availability of mandatory reports to the country management team, in line with IMC policies and procedures. 
  • Implementing of correctives measures identified as result audit or compliance review. 
  • Fraud prevention 
  • Committed to fraud prevention, detection, reporting and fraud risk reduction as per IMC policies and procedures, donor rules and local laws and regulations. 
  • Logistics Management & Information System (LMIS) 
  • Use software solutions in a consistent and accurate manner.

Job Requirements

MINIMUM QUALIFICATIONS

  • Typically, a degree in Logistics, Supply Chain  or related area.
  • Equivalent combination of relevant education and experience may be substituted as appropriate.
  • Typically, 6 months experience in Warehouse and/or Logistics
  • Good interpersonal and team skills. 
  • Commitment to and understanding of IMC’s aims, values and principles. 
  • Basic knowledge of MS Office including MS Word, Excel and Outlook. 
  • Ability to integrate and work well within multi-ethnic and multicultural team.  
  • Ability to work in harsh conditions, often in remote areas,  
  • Relevant qualifications or training courses. 
  • Fluency in written and spoken English.
